  • At this point, we create a custom digital or printed invitation using our template, which is sent to your guest list with clear instructions on how to book directly into your secured group. We also provide you with a dedicated wedding webpage that includes live, accurate pricing and booking details for your guests
  • Individual reservations, room categories, and any special requests.
  • Keeping track of your numbers against the group contract, ensuring you stay on top of key deadlines, deposit dates, final payment deadlines, and all reminders you and your guests will require.

Now that your guest list is taking shape, we can lean into the details that make your wedding feel like “you.”

  • Choose your ceremony and reception locations, plus approximate start times based on light, heat, and photography.

  • Consider outside vendors (if allowed), such as photographers, videographers, live musicians, or DJs, or confirm whether you prefer to use the resort’s preferred partners.

At this stage, you are shaping the day's personality while we keep everything organized and realistic.

6 weeks Before: Fine‑Tuning and Extras

As the big day gets closer, the resort wedding team shifts from broad decisions to fine details.

  • Confirm your ceremony and reception timelines, menu selections, and décor items so the resort can begin its detailed planning.
  • Refine ceremony wording and any special moments you want to include, such as readings, unity ceremonies, or cultural traditions.
  • Look at group experiences that will make the trip feel extra special, such as welcome cocktails, rehearsal dinners, catamaran cruises, snorkelling outings, zip‑lining adventures, or spa days.

On the guest side, we:

  • Review who has booked, gently remind anyone who is still on the fence, and help late bookers with options.

1–2 Months Before: Final Confirmations and Packing Plans

This is the “put a bow on it” phase, where everything becomes real and exciting.

Behind the scenes, we:

  • Double‑check all reservations, rooming lists, transfers, and special notes in your file.
  • Provide a final guest list of those booked in your group block.

For you and your guests, we provide:

  • A practical packing checklist that covers outfits, accessories, key documents, travel insurance, carry‑on essentials, and all things wedding‑day ready.
  • Important details regarding the travel.

At this point, the planning is mostly done – you are simply getting ready to go.

Final Two Weeks and Travel Days: Enjoying the Experience

In the final stretch, our focus shifts from planning to peace of mind.

We make sure you:

  • Have a clear itinerary that includes travel details, your meeting time with the resort wedding coordinator upon arrival, and a general sense of what each day will look like.
  • Know exactly who to contact if any last‑minute travel issues pop up while you are en route.

We encourage you to:

  • Delegate small tasks to your wedding party – things like wrangling guests, holding onto decor odds and ends, or managing a group chat – so you can relax as much as possible.
