Understanding Your Timeline: Is 6–15 Months Enough?

  • Experts recommend planning destination weddings 12–18 months in advance due to the extra logistics, but 6–12 months is still a strong, doable window, especially if you're working with specialists.
  • Canadians are increasingly choosing sun‑soaked destinations for the simplicity of packages and ease of travel, especially all-inclusive options. This timeline puts you in control without making you feel rushed.
  • Destination weddings involve more coordination (travel, legalities, guest logistics), so this timeline gives you space to breathe and plan smartly.

Your Step-by-Step Guide to "How to Do a Destination Wedding"

** A. Pick Your Destination & Package**

  • Knowing the budget you would like to spend on both the wedding itself and the travel component for your guests is extremely important. The last thing you want is to go to your destination wedding travel specialist with a budget that is not realistic. Gone are the days of $1000-1500 per person. We are seeing prices of $2000 and up, depending on the chosen departure city and destination. If you are looking for a luxurious island getaway, you can expect to start at $3000 per person. This is the guest travel section. That is the flights, hotel, and transfers.
  • Start with your vibe: lush Costa Rican jungles, vibrant Mexico resorts, or Caribbean beaches. Consider ease of access from Canada (flight paths, transfers).
  • Then decide package type:
    • All-Inclusive Resorts: typically cover flights, hotel, transfers, food, drinks, and sometimes entertainment.
    • Boutique Hotel Packages: cover flights, hotel, transfers; may not include meals or extras.

** B. Launch Your Planning: Secure Your Group Space**

  • Book your resort or hotel package and pay a deposit. This locks your group room block & flights for 90 days.
  • Once confirmed, launch your wedding website immediately. Include travel details and package booking information. This becomes your invitation hub. At Weddings By Memorable Vacations, we provide you with a webpage with all the details for your guests.

** C. Formal Invitations Go Out**

  • Instead of sending save-the-dates, consider sending formal invitations (digital or printed) with your website link as soon as space is confirmed. This is a more timely and practical approach. Remember, guests only have 90 days to put down their deposit for your secured space.
  • This ensures guests know how and when to book, without confusing them with premature info.

** D. Hire a Specialist: That's Us!**

  • Work with destination wedding travel pros, ideally specialists in the Caribbean, Mexico, and Costa Rica. We manage group bookings, ensure compliance with legal requirements, and manage travel arrangements for your entire wedding group.
  • Do yourself a favour: work with locals who know the resorts, laws, and language. We offer referrals for those who either want to get married off resort or hire the services of other vendors. Considering that off-site vendors incur an additional fee for working on the resort,

** E. Legal Logistics**

One of the biggest early decisions you’ll make is whether to have a legal or symbolic ceremony at your destination.

💍 Option 1: Symbolic Ceremony (Most Popular)

This is a non-legally binding ceremony performed abroad, with the legal marriage completed at home in Canada before travel. Most couples choose this route for simplicity, less paperwork, and complete creative freedom during the ceremony.

  • Be at the destination a minimum of two days before the wedding. The day you arrive in the country doesn't count.

📑 Option 2: Legal Ceremony Abroad

If you prefer to be legally married at your destination, each country has its own requirements. This could include:

  • Arrive at the destination a minimum of three business days before the wedding. The arrival day doesn't count. (Some resorts will be a little flexible on this, but most won't)
  • Valid passports
  • Birth certificates
  • Apostilled or translated documents can become costly
  • Affidavits of single status, if divorced or widowed, a copy of the certificates.
  • Occasionally, blood tests or residency minimums (e.g., Mexico, Dominican Republic)
  • A longer minimum time in the country before the ceremony.

⚠️ Legal ceremonies require more time and coordination, which is why this decision should be made at the start of your planning process.

** F. Guest Communications & Travel**

Your guest experience is a massive part of what makes a destination wedding so exceptional, and successful communication is key.

  • Consider wedding insurance, especially useful for international delays, weather issues, or vendor problems.

** H. Final Months**

  • 3–6 months before:
    • Wedding attire, Welcome Bag contents.

    • Confirm guest numbers with the wedding planner at the resort, payments,
    • Finalize décor, menus, and itinerary. This is typically done with the resort wedding planner six weeks before your arrival.
  • 2-3 weeks before:

  • Wedding week:
    • The day after you arrive at the resort, you will meet with the wedding planner to go over all the details and make any adjustments needed.
